How do I upload call recordings to Callyst?
Upload .wav or .mp3 files, up to 50 MB each. For the free check, do it on your private upload page: up to 10 calls, and your scored report arrives within 24 hours. Teams already using Callyst can also have a workspace admin paste links on the Import calls page, which also takes .m4a.
Callyst works with any phone system that can export recordings. It has no built-in connection to any phone system, and you send recordings, not transcripts: Callyst transcribes the audio itself.
Last checked against Callyst's product facts: 22 October 2026.

Before you start
- Recordings must exist as files. Callyst works with any phone system that can export recordings. If you are unsure how to get the files out, we have export guides for GoTo Connect, RingCentral and Aircall. These are guides to each phone system's own export steps, not integrations.
- Pick real sales conversations. Callyst sets aside voicemails, no-answers, exact duplicates, calls under 60 seconds (by default) and calls over 90 minutes. They are not scored, so there is no point sending them.
- English calls. Callyst scores calls in English.
- Permission. On the free check you tick that you have permission to share the calls. Our Terms say to upload only calls you have the right to record and use, including any consent that call-recording laws require. Getting that consent is your responsibility. For a plain-English start, see Is it legal to record and score sales calls?
- Check the file names. Some phone systems put phone numbers or names in the file name. Check them, and rename any file whose name holds anything you do not want shared, before you send it.
Route 1: the free check
- Go to /free-check. Fill in your name, work email and company. Gmail, Outlook and other free addresses cannot be used. There is one free check per company, and no card and no call with sales first. Optional: send your own scorecard, or a checklist we turn into a draft scorecard (a JSON scorecard up to 200 KB, or a PDF, DOCX or TXT checklist up to 2 MB, or up to 20,000 pasted characters). If you skip this, Callyst uses its standard sales scorecard. The scorecard builder shows how.
- We email you a sign-in link. Click it, and press Sign in on the "Finish signing in" page that opens. That confirms your work email and opens your private upload page. The link works once and expires after 15 minutes.
- On the upload page, tick We have permission to share these calls only if the people on the calls, and your company, allow Callyst to process the recordings.
- Upload up to 10 calls as
.wavor.mp3, up to 50 MB each. M4A is not accepted here. - When every file is uploaded, press Done, build my report. Your scored report arrives within 24 hours.
- The report comes by email, with the headline numbers and a link to the full report online. Sign in with the work email you used. To keep a copy as a PDF, open the report page and use your browser's Print, then Save as PDF.

Route 2: Import calls (teams already using Callyst)
Import calls is for workspace admins of an active Callyst workspace that has at least one active rep. It is not part of the free check, and a free-check workspace cannot open it.
- Make a link for each recording, for example a pre-signed storage link. Treat each link like the recording itself: anyone who has the link can usually download the file until it expires, so keep expiry short, but long enough for Callyst to download the file, and do not post links in public places. Never paste storage passwords or access keys.
- Open Import calls and paste up to 50
httpslinks at a time. - Callyst downloads each file itself, over the internet. It takes
.mp3,.wavor.m4a, up to 50 MB each. It reads the file type from the file itself. Very long recordings may be rejected at processing. - Your calls are scored into the workspace. Imported calls do not get an emailed report and have no 24-hour promise.
M4A also works when you import calls by link.
Heads-up on file names: if your system puts phone numbers or names in file names or links, check and rename the files, and any folders in the link, before you make the links.
What happens next
- Callyst transcribes the audio itself. You send recordings, not transcripts.
- Each call is scored against your scorecard, or our standard one. Item scores come with a quote from the call, checked word for word against the transcript. If no quote checks out, the score shows without one.
- Scores and coaching notes are AI-generated and can be wrong. Review flags before acting on them.
- Audio is deleted 30 days after scoring, and no recording is kept longer than 35 days.
Troubleshooting
- "My file was refused." Check the type and the size. The free check takes
.wavor.mp3only, up to 50 MB each. If your file is over 50 MB, export that call again as a smaller file if your phone system allows, or leave it out. - "My files are
.m4a." M4A works only on Import calls, for teams already using Callyst. For the free check, export.wavor.mp3instead. - "I pasted links on the free check." Pasted links are not part of the free check. Upload the files.
- "A call I sent was not scored." Voicemails, no-answers, exact duplicates, calls under 60 seconds (by default) and calls over 90 minutes are set aside and not scored.
- Anything else. Email support@callyst.com.
