How do I export RingCentral call recordings and score them?
If you are a RingCentral admin with access to the company call log, you can download recorded calls as MP3 files from the Admin Portal: Analytics & Logs, then Call Log, then Download, then Recorded Calls. Upload the MP3s to Callyst for the free check: up to 10 calls, 50 MB each. Pasted links are not part of the free check. For the free check, upload the files. Teams already using Callyst can also have a workspace admin paste up to 50 links at a time on the Import calls page. This guide covers RingCentral's RingEX Admin Portal as RingCentral documents it. It does not cover RingCentral's other products.
Callyst works with any phone system that can export recordings. It has no built-in connection to RingCentral or any other phone system.
Last checked against RingCentral's help pages: 21 October 2026. RingCentral can change its pages and screens at any time; if yours look different, trust RingCentral's current pages.
Before you start
- Permission. RingCentral says admins with access to the company call logs can view and manage call records and recordings. RingCentral: company call log RingCentral also says you need admin privileges to download and back up account data. RingCentral: Downloading and backing up your account data If you cannot see Analytics & Logs, ask your RingCentral admin.
- Plan. RingCentral says automatic call recording is only available on the Advanced and Ultra plans, and only admins can turn it on. RingCentral: Automatic call recording FAQs I did not find a RingCentral page that lists plan limits for the call-log download itself.
- Recording must already be on. You can only export calls that were recorded.
- How long RingCentral keeps them. RingCentral says automatic call recordings are kept for 90 days, up to 100,000 per account, and says its policies are subject to change. On-demand recordings are also kept 90 days, up to 200 per user's voicemail box. RingCentral: data retention policies Export what you want to keep before then. Do not delete the originals while you export.
- The law. RingCentral's automatic call recording FAQ explains how its Smart Automatic Call Recording handles one-party and two-party notification. That describes how the product behaves, not the law. It is your responsibility to follow the rules where you and your callers are. We have a plain-English post: Is it legal to record and score sales calls?
- Permission to share. On the free check you tick that you have permission to share the calls. Our Terms ask you to upload only calls you have the right to record and use, including any consent that call-recording laws require.
Step 1: Download the recordings from the Admin Portal
- Sign in to the RingCentral Admin Portal. At the top right, choose Admin Portal from the dropdown if it is not already selected.
- Click the Analytics & Logs tab, then click Call Log.
- Choose the Simple or Detailed tab.
- Narrow the list. RingCentral lets you pick a date range (today, yesterday, last 7, 30 or 60 days, or custom dates), a call direction, an extension, and Recorded Calls Only under Types of Call. You can also use a saved search.
- Click Download, tick Recorded Calls, then click Download again. RingCentral says recordings are downloaded in MP3 format, and that only the current log view is downloaded, so your filters decide which calls you get.
- Open what you received and check it. RingCentral's page does not say whether you get one file per call or a single bundle, or whether there is a limit per download. If you receive a ZIP or other archive, extract it first. If a large range is not available, download in smaller date ranges.
RingCentral: Viewing and managing your company call log in the Admin Portal
One call at a time. In the call log, the Recording column lets you listen to and download a single recording, if the call was recorded. Each extension's own recordings are also under Messages, then Recordings (choose My Extension first if the portal shows "Admin Portal" at top right), where the More (three dots) menu has Download. Step 2: Choose and check the files
- Pick a format Callyst takes. RingCentral says the download is MP3. Callyst's upload page and free check take
.wavor.mp3, up to 50 MB each. Import calls also takes.m4a. MP3 is accepted everywhere. - Check file sizes. Each file must be 50 MB or less. I found no RingCentral figure for MP3 size per minute, so check the size of your longest calls before you upload.
- File names. RingCentral's call log page notes that a download's file name can show a phone number. Keep that in mind when you share files or put them in storage.
- Choose the calls. Pick real sales conversations. Callyst sets aside voicemails, no-answers, exact duplicates, calls under 60 seconds and calls over 90 minutes, so there is no point sending them.
- English. Callyst scores calls in English.
Step 3: Send them to Callyst
Option 1: Upload the files (free check). This is the route for the free check.
- Go to /free-check and fill in your name, work email and company. Gmail, Outlook and other free addresses cannot be used. One free check per company. Optional: send your own scorecard, or a checklist we turn into a draft scorecard. Without one, we use our standard sales scorecard.
- We email you a sign-in link. Click it, and press Sign in on the "Finish signing in" page that opens. That opens your private upload page. The link works once and expires after 15 minutes.
- On the upload page, tick We have permission to share these calls only if the people on the calls, and your company, allow Callyst to process the recordings. Our Terms ask you to upload only calls you have the right to record and use, including any consent that call-recording laws require.
- Upload up to 10 calls as
.wavor.mp3, up to 50 MB each. - When every file is uploaded, press Done, build my report. Your scored report arrives within 24 hours.
More detail on uploading: How do I upload call recordings to Callyst?
Option 2: Import calls (paste links). For teams already using Callyst; not part of the free check.
Pasted links are not part of the free check. For the free check, use Option 1.
The steps above download the files. If you then put the MP3s in storage you control, a workspace admin on a team that already uses Callyst can paste up to 50 https links at a time on the Import calls page, for example pre-signed Amazon S3 links, and Callyst fetches each file. Import calls takes .mp3, .wav or .m4a, up to 50 MB each; the file type is read from the file itself. AWS charges can apply when Callyst fetches the links, as they can when you download the files yourself. AWS says data-transfer fees apply when you download objects outside the AWS network, and GET requests are charged (checked 21 October 2026).
To make a pre-signed S3 link for one file (AWS's own steps, AWS: Sharing objects with presigned URLs):
- In the S3 console, open your bucket and select the file.
- From Object actions, choose Share with a presigned URL.
- Set how long the link should last. In the console the longest is 12 hours. Use a short time, enough for the import to finish.
- Choose Create presigned URL and paste it into the Import calls box, one link per line.
AWS says anyone who has a presigned link can download the file until it expires. Treat each link like the recording itself: do not post it in public places, and keep expiry short. For many files, AWS also shows aws s3 presign on the command line, where the longest expiry is 7 days. Never paste AWS keys into Callyst, a ticket or an email. Callyst does not need them.
Example of what you paste (fictional links, not real):
https://amzn-s3-demo-bucket.s3.amazonaws.com/ringcentral/2026-10-14/call-0001.mp3?X-Amz-Signature=EXAMPLE
https://amzn-s3-demo-bucket.s3.amazonaws.com/ringcentral/2026-10-14/call-0002.mp3?X-Amz-Signature=EXAMPLEWhat happens next
- Callyst transcribes the audio itself. You send recordings, not transcripts.
- Each call is scored against your scorecard, or our standard one. Item scores come with a quote from the call, checked word for word against the transcript. If no quote checks out, the score shows without one.
- Scores and coaching notes are AI-generated and can be wrong. Review flags before acting on them.
- Audio is deleted 30 days after scoring, and no recording is kept longer than 35 days.
- Compliance: add your compliance checks to the scorecard and Callyst flags the calls that miss them, with the quote.
